Schatz Bearing Corporation (Poughkeepsie, NY) manufactures specialty ball bearings used in the aerospace, medical and aviation industries. We are a rapidly growing company seeking a full-time Office Assist to add to the productivity & efficiency of our organization.   If you are a skilled office assistant with at least 2 years’ clerical/admin experience, we encourage you to submit an application for this position.

Responsibilities:

General Office Support:

                Answer and process all phone calls accordinglly

                Professionally greet all guests in person, maintain visitor log, badges, and distribute applications as required

                Support Internal customers

                Open and distribute mail

                Order and disperse office supplies

                Assist with all office duties

Accounts Payable:

                Matching invoices to packing slips and purchase order, investigate differences if any

                Process Accounts Payables invoices and all expenses

                Manage all vendor communications

                Review and reconcile vendor statements

                Maintains vendor files       

Payroll:

                Provide back up support for Preparing, reviewing & submitting payroll

                Distribute paychecks as required             

Assist with special reports, additional projects and tasks as needed

 

Who You Are:

A hands-on, go-getter with an interest in learning, growing and adding value to the organization. Since this role interacts with a variety of individuals including vendors and employees, a professional and friendly demeanor is a must.  

The ideal candidate will possess:

  • Exceptional phone etiquette with effective verbal and written communication skills
  • A proven multi-tasking ability with the capacity to prioritize and balance conflicting demands
  • Strong attention to detail
  • Solid working knowledge of Microsoft office

Bi-lingual in Spanish is not required but is a plus.  Payroll/HR Assistant experience is also a plus
